Requirements Analysis

We start by thoroughly understanding your requirements and identifying where we can work together to build a customised solution for your growth — acting as a strategic partner, not just a service provider.

We start with a call to understand your volume, your systems, your reporting needs, and where the current process is failing. That covers the practical detail — how many accounts and transactions, which platforms you run, who currently does what, what your year-end looks like — and the softer parts: how you prefer to communicate, and how much day-to-day involvement you actually want. Nothing is proposed until we can describe your month back to you accurately.

Customised Proposal

Based on your requirements we craft a staffing solution that lets you leverage remote staffing and grow. We work as a team member, collaborating closely with you to achieve your goals.

You get a written scope covering the work included, who on our side will do it, the turnaround you can expect, and the reporting you will receive. Where a full handover would be disruptive we suggest a phased start — a single entity, one month of catch-up, or a pilot with one or two of your clients if you are a firm. The proposal names what is excluded as clearly as what is included.

Costing & Negotiation

Once we agree on the solution, we discuss cost, terms and conditions — always with fair, transparent pricing that reflects the value we deliver.

Pricing follows the scope, in one of three shapes: hourly from $10/hour, a dedicated resource billed monthly, or a fixed monthly fee for a defined deliverable. We will tell you which one fits your volume rather than defaulting to the most expensive. Terms, notice periods, and data-handling commitments are agreed in writing before any access is granted, and your first month runs as a free trial.

Receive & Review Documents

We carefully review all of your financial documents — invoices, receipts, bank and credit-card statements, and any other relevant data.

You share documents however suits you — a shared drive, your own portal, or a direct feed from tools like Dext or Hubdoc. We work through secure remote access, so nothing is downloaded without your permission. Before any data entry starts we check the month for completeness: missing statements, gaps in a bank feed, duplicate invoices, receipts that do not tie to a transaction. Anything unclear at this stage goes onto the query sheet rather than being guessed at.

Record & Reconcile

We enter the data into your accounting software, then a team leader performs a thorough review to ensure every entry is accurate and complete.

Entries go into whichever platform you already use — QuickBooks, Xero, Sage, NetSuite, or a practice-specific system such as Buildium or Cosmolex. Transactions are coded to your chart of accounts and your own conventions, not a generic template. Every bank, credit-card, and loan account is reconciled to the statement, and control accounts are checked before the file moves on. A team leader then reviews the work independently — no set of books reaches you having been seen by only one person.

Query Report

If anything needs clarification, we send a concise query sheet so you can answer at your convenience — minimising back-and-forth.

Questions are batched into a single concise query sheet rather than drip-fed as they arise, so you answer once instead of fielding messages all week. Each query names the transaction, the date, the amount, and exactly what we need from you. You reply at your convenience and the rest of the file keeps moving in the meantime. Anything still open at close is carried forward and flagged, never closed on an assumption.

Financial Reports

Based on your scope of work we prepare the final output — from invoicing to financial statements ready for your review.

What you receive depends on your scope of work. Typically that is a profit and loss, balance sheet, and cash-flow statement, plus any management reporting you have asked for — AR and AP ageing, job or project profitability, budget against actuals. Statements are prepared in line with US GAAP where applicable and delivered on an agreed cadence: monthly, quarterly, or on demand. At year-end everything is packaged for your CPA.

Senior Bookkeeper

Performs all regular bookkeeping, plans the work to your expectations, prepares process checklists, sends work updates on every day a file is touched, and self-reviews before handover.

Accounts Reviewer

Ensures smooth onboarding, runs an internal review on every file, meets with you to confirm the work matches expectations, and double-checks financial documents for quality and accuracy.

Project Coordinator

Documents every meeting, creates and assigns tasks to your requirements, keeps the team's task list current, and follows up with you on requested information through regular emails and calls.

Data security

Secure Remote Access

We work through secure remote access so no data is downloaded without your permission — and anything downloaded is deleted once it's no longer needed.

CCTV Coverage

Our offices are monitored by CCTV to ensure team members work in compliance with our security protocols.

Restricted Access

No pen drives or personal email access are allowed on the computers used for accounting work.

Access Control

Strict access controls limit who can view your financial data — only authorised team members can work with your sensitive information.
