CPA & Accounting Firms

Add capacity without adding headcount

Every firm hits the same ceiling: client work grows faster than you can hire, and busy season turns advisory time into data entry. We work invisibly behind your brand so your staff stay on the high-value work and your clients never see a handoff.

The hard parts

What makes cpa & accounting firms books different

These are the places we see go wrong most often — and the first things we fix.

Busy-season crunch

January to April demand can double while your team size stays fixed — and seasonal hires take longer to train than the season lasts.

Margin pressure on compliance work

Bookkeeping and clean-up work is necessary but rarely priced well. Doing it with senior staff destroys realisation.

Staff turnover

Losing one experienced person mid-season puts a whole book of clients at risk with no backup.

How it runs

Our high-volume tax filing pipeline

For firms and multi-location operators running seasonal 1040 volume, we run a centralised preparation model on Drake Tax. Every return moves through the same seven tracked stages, so nothing sits in someone's inbox and you always know where a file is.

1

Registration & document collection

Client

ID verification, SSN/ITIN, W-2s and 1099s — collected only through a secured portal.

2

Document review

Back office

Missing, mismatched, or invalid documents are flagged and chased before preparation starts.

3

Preparation

Preparer

Federal and state return prepared in Drake Tax by a dedicated preparer.

4

Client approval

Client

Summary of refund or balance due, with a draft return sent for review.

5

E-signature

Client

Form 8879 and consents signed electronically — no printing or scanning.

6

E-filing

Back office

Federal and state e-file submitted, with acknowledgements captured.

7

Post-filing

Back office

Filed PDF delivered, IRS and state acceptance confirmed, refund status tracked.

Turnaround

  • RegistrationSame day
  • Document collectionSame day
  • Preparation3 days
  • Sent for signature1 day
  • E-filing1 day

~6 business days from registration to filed return

Data controls

  • Role-based access — preparers see only their assigned files
  • Encryption in transit and at rest
  • Multi-factor authentication for all staff
  • Full audit logs on every document and status change
  • IRS-compliant retention and secure deletion
  • Portal-only intake — never email, text, or third-party file sharing

The dashboard behind it

This workflow doesn't run on email and spreadsheets

Every stage above is a state in a system we built and operate — data pulled and validated on a schedule, exceptions routed to a named owner, and access scoped so each person sees only their own portfolio. Nothing reaches a statement or a payment without a human sign-off.

  • Automated, validated feedsLoaders re-run safely; a failed feed shows as a red row, not silence.
  • Exceptions have an ownerAnything that breaks a rule lands on a named person's queue with a due date.
  • Access scoped in the data layerPermissions are enforced where the query runs, not just hidden in the UI.
Data feeds panel listing each automated inbound feed with its source, schedule, last delivery, rows loaded, schema validation and health status
Every inbound feed reports its last delivery, row count and schema check, so a source that stops arriving surfaces as a row to review rather than a gap nobody noticed. Demonstration data.
Straight answers

CPA & Accounting Firms, answered

No. We work white-label, under your brand and your processes. You keep the client relationship, the communication, and the final sign-off — we do the production work behind the scenes.

That's what we recommend. Most firms pilot with a couple of files to test the workflow and review standard, then scale once they're comfortable. Your first month is free.

Onboarding takes as little as 24 hours for an established workflow. We ask for a few weeks' notice before peak season so the right team is briefed on your standards in advance.

Around six business days end to end on our standard pipeline — same-day registration and document collection, three days in preparation, one day out for signature, and one day to e-file. Complex returns and missing-document delays extend that.

Drake Tax is our primary engine for high-volume individual work, with Drake Portals for intake and Drake E-Sign for Form 8879. We also work in ProConnect, ProSeries, Lacerte, ATX, and UltraTax where a firm is already committed to them.

Through a secured client portal only — never email, text, or consumer file-sharing. Access is role-based with MFA, everything is encrypted in transit and at rest, and every document and status change is logged.
